Onboarding All Service Account

This onboarding user guide is explained using an example of an Anthropic AI Service Account within CoreStack.

Introduction

CoreStack’s governed onboarding flow enables organizations to centrally track, ingest, and govern costs from external SaaS providers (AI services, data providers, and other tools). It offers a guided, cloud-agnostic onboarding wizard to define provider accounts, validate secure cloud storage, and upload standardized cost reports. Once onboarded, external costs are integrated into CoreStack’s FinOps capabilities—providing unified visibility, consistent governance, accurate cost allocation, and improved financial control across both cloud and third-party spend.

Onboarding steps for the following account types are same, so the onboarding process is explained using an Anthropic account as an example. Follow the detailed steps explained in this guide to proceed with onboarding of your selection of account type -- OpeAI, Anthropic, Snowflake, DataBricks, DataDog, Splunk, CircleCI, Elastic, MicrosoftTeams, SalesForceSalesCloud, DropBox, Okta, NewRelic, Dynatrace, and Grafana.

Onboarding Steps

1. Navigate to Governance

On the left navigation pane, click Governance. There are two places on the left menu bar from where onboarding can be initiated. This is one of the options.

2. Open Account Governance

Click Account Governance.

3. Access AI Services

Click AI Services to view and manage AI-related accounts.

Note: To view and manage data services-related accounts, click Data Services, or to view and manage other services/collaboration tools accounts, click Other Services on the left menu.

4. Click Onboard AI Services

To start the onboarding process, click Onboard AI Services.

Note: To onboard a data services account, you will get the option Onboard Data Services and to onboard a custom tool account/collaborative tool account, you will get the option Onboard Other Services.

5. Click Onboard

Hover the mouse pointer over Anthropic and click Onboard.

If you want to onboard any other AI Services/Data Services/Other Services account, then hover the mouse pointer over that specific account type and proceed with the onboarding.

6. Alternative Way: Open Settings Menu

The alternative way to start the onboarding process is to go to the Settings menu.

7. Click Onboard Accounts.

8. Select AI Services Option

On the left panel, click AI Services to view the list of AI service accounts available for onboarding. You can click to select the option Other Services or Data Services, based on the type of account you want to onboard.

9. Click Onboard

Hover the mouse pointer over Anthropic and click Onboard. The onboarding steps after this remains the same, irrespective of which menu you started the onboarding process.

10. Prerequisites

In the Prerequisites step, the product FinOps is selected by default.

11. Click Next

Click Next to proceed to the next step.

12. Enter Account Name

In the Account Name box, the account name is pre-populated and you can change it as per need.

13. Enter Account Description

In the Description text box, enter the account description.

14. Continue to Next Step

Click Next to go to the next step.

15. Cloud Account Onboarded with Product Checkbox Enabled

If the Cloud Account Onboarded with Product checkbox is selected, then the following fields need to be filled:

  • In the Cloud Account drop-down list, click to select a cloud account.
  • In the Storage Bucket drop-down list, click to select an option.
  • In the File Path box, enter the storage path.
  • Click Save & Validate.

16. Cloud Account Onboarded with Product Checkbox Not Selected

If the Cloud Account Onboarded with Product checkbox is not selected, then select either Assume Role or Access Key.

17. Fill Details for Assume Role

If the authentication protocol is selected as Assume Role, then fill the following fields and click Save & Validate:

  • Role ARN
  • External ID
  • MFA Enabled: Select either True or False
  • Storage Bucket
  • File Path

18. Fill Details for Access Key

If the authentication protocol is selected as Access Key, then fill the following fields and click Save & Validate:

  • Access Key
  • Secret Key
  • Storage Bucket
  • File Path

19. Click Finish

Click Finish to complete the onboarding process.

20. View AI Services Accounts

View the AI Services Accounts page that shows the onboarded account. Users can view the account details in these columns -- Name, Tool Name, Account Status, Onboarded By, Created Date, Credential Status, and Actions.

Click the Filter icon to view or hide the ADD+ filter. You can use ADD+ to add custom filter and view specific details.

In this case, select the option Credential Status.

After that, click the drop-down and select values for the filter. The account details will be filtered and displayed as per the selected options.

Click the Download icon to download account details.

Search Details

To find any specific account-related details, use the Search box.

Select an Action

To take action on an account, click the ellipses and select an action. Users can take any of these actions -- View, Edit, Deactivate, and Delete.

  • Click the ellipses and select View to see the AI service account details for the selected account. You can view the Details tab to go through the account details and view the FinOps tab to go through the product details.
  • Click the ellipses and select the Edit action. You can edit the relevant fields and click Finish.
  • Click the ellipses and select the Deactivate action to disable the selected AI service account. A dialog box appears, where you can select Yes to deactivate the account, else click No.
  • Click the ellipses and select the Delete action to remove the AI service account from the platform. A dialog box appears, where you can select Yes to delete the account, else click No.
